How to set up printing labels in Microsoft Word & Excel

Do you find label printing a bit daunting? Unsure where to start or frustrated with having to print labels at your place? In this article, we show you how quickly and easy it is to print labels at home using the most common app: Word & Excel. Depending on the nature of your task, you can use either one or both at the same time, maximising your time. 

 

Using Word (desktop app) 

Go to Mailings > then click on the label icon. Then under options, you can select the label layout if you know the equivalent Avery code.   

For reference, the Avery label codes are listed on our label template page and within our product descriptions.  

Everything should be set and ready for you to use and print. 

 

Using Excel 

Compared to the Word app, there is no way for you to import a templated page.   

However, you can adjust the columns and spaces to fit the label layout you want to print on.  

When you are satisfied with your adjustments, you can save your file like a template and make a copy from it when you need to work on it. 

 

Merging from Excel to Word 

Say you have a list of customers to send parcels to, and you want to batch your label printing. Using Excel and merging with Word will be the most efficient way to go about it.  

In Excel, enter all your customers’ details, one piece of information in each cell. For example, column A for First name, column B for Last name, etc  

Next, use the Word app by linking your Excel to sheet the mailing option. Click on “Mailings” > “Start mail merge” > “Labels...” 

Follow the rest of the instructions above in the Word paragraph instructions.  

Now, time to merge with your Excel database.  

In “Address Block”, click on “Write & Insert Fields” > Match Fields button on the Insert Address Block dialogue box that appears.  

Once you are happy with the mapping of your fields, click “Finish & Merge” in the Finish group on the Mailings tab. 

 

Common Questions 

What’s the best way to print ym labels without wasting sheets? 

Unfortunately, as all printers behave differently there’s no sure-fire way to guarantee perfect printing first time. We always recommend test printing on blank paper until you are happy with the positioning. 

My print is off centre, why is this? 

There can be a variety of reasons for offset printing: check the paper is loaded correctly, the margins on your print settings match the margins on the labels and that you are printing the actual size rather than fit-to-sheet. If you still have any issues, please get in touch with our team. 

 

Using more advanced software 

For those with more advanced skills, you can also use Photoshop or any other visual editors where you can adjust the template however you like and also import/export high-definition visuals within the software. This technique can be more time-consuming but will offer more flexibility over time.
