CHOOSE YOUR TASK

One repeated address or a different address on each label?

The same details on every label

For your own sender address or another repeated message, use Word’s label tool or fill the cells of a matching template with the same text. Check the text fits and print a sample.

If you prefer ready-printed sender stickers, choose our personalised return address labels.

A different recipient on each label

Use an address list and a label mail merge. Excel holds the recipient details and desktop Word places those details into the label layout.

Use the desktop version for this workflow; Word for the web cannot perform or edit a mail merge.

BEFORE YOU START

Choose the right sheets and exact template

Our blank matt white paper address labels use permanent adhesive and suit compatible inkjet and laser printers. If you select another material, confirm its printer requirements first.

Keep the page at its intended size

Use A4 in both the document and printer settings. Print at 100% or Actual Size, with Fit to Page and other scaling switched off. Follow your printer’s label-media and feed-path guidance.

Set aside plain paper for testing, plus one complete label sheet for the first printed sample.

PREPARE YOUR DATA

Give each recipient one row in Excel

Use clear headings, separate the address elements into columns and check the list before connecting it to Word. Keep address data on a single worksheet.

DESKTOP WORD WORKFLOW

Merge your Excel addresses onto labels

Menu names can vary by version and platform. On mobile, swipe through the six steps.

01 · START

Create a label merge

In desktop Word, choose Mailings → Start Mail Merge → Labels. Select the exact layout, or define a custom label using the sheet measurements.

02 · CONNECT

Choose your recipients

Use Select Recipients to connect the saved Excel list. Choose the correct worksheet and confirm the records you want.

03 · ARRANGE

Build the first label

Insert the address fields, or an Address Block. Arrange the first cell and check its text spacing.

04 · REPEAT

Update the label layout

Choose Update Labels to copy the arrangement across the sheet. Retain the record-advance fields Word inserts for later recipients.

05 · PREVIEW

Check the merged addresses

Use Preview Results to inspect several records, including long addresses. Correct the layout and update the labels again if needed.

06 · COMPLETE

Create the merged output

Choose Finish & Merge. Edit Individual Documents lets you review the output before printing; Print Documents sends the merge to print.

A downloaded template provides the sheet geometry. Mail merge also needs the recipient connection, merge fields and record progression; opening a template alone does not create that setup.

CHECK BEFORE A FULL RUN

Test the first, middle and last rows

Check the whole layout, rather than just the first label. A small scale or spacing mismatch can become more obvious further down a page.

Check your template
  1. Print on plain paperCompare the test against the sheet layout using a light source. Check position and scale across the page.
  2. Inspect the addressesLook for clipped text, awkward wrapping, missing postcodes, blank labels and repeated records.
  3. Print one complete label sheetUse a supported media setting and feed direction. Check print quality and alignment before proceeding.
  4. Apply and check readabilityMake sure the address is clear on the envelope or mailer. Use a suitable clean, dry application area.
TROUBLESHOOTING

Common address label printing problems

Every label shows the same address

Check that the document is a label mail merge, rather than a repeated-address sheet. Check the recipient connection, Update Labels and the Next Record fields in subsequent cells. Preview the output before printing.

The whole sheet is shifted

Check the correct template, orientation, feed direction and printer margins. If the shift is consistent after these checks, adjust the position slightly and repeat the plain-paper test.

Alignment drifts down the page

Check A4 and 100% printing in the document and driver. Confirm label height, pitch and gaps. Correct the scale or layout before moving the design.

Long addresses do not fit

Review the line breaks, paragraph spacing and font size. Keep the address readable; choose a larger label when the content cannot fit clearly.

Blank lines or missing details appear

Check the source records and field placement. Preview records with missing optional fields and adjust the address layout or field rules as needed.

Sheets feed badly or print smudges

Check the stock matches the printer technology and use its supported media and feed guidance. Keep sheets flat and dry. Use complete sheets and stop if labels lift or adhesive is exposed.

YOUR QUESTIONS ANSWERED

Address label printing FAQs

Can I print address labels using an Excel address list?

Yes. Prepare your recipient data in Excel, then use desktop Word to lay out and merge the addresses onto the matching label format. Excel supplies the data; Word creates the label document.

Can I complete this mail merge in Word for the web?

Use the desktop version of Word for this workflow. Word for the web does not perform or edit a mail merge. Menu wording may vary between desktop versions and platforms.

Which template should I use for my address labels?

Use the template that matches the exact label width, height, number per sheet, margins and spacing. Find the matching file on our label templates page. Do not assume that two layouts with the same number of labels per sheet are identical.

Why is the same address appearing on every label?

Check that you started a label mail merge and connected the intended recipient list. Use Update Labels after arranging the first label, and check the Next Record fields in subsequent label cells. Preview several records before completing the merge.

Why is my print alignment getting worse down the page?

Check that the document and printer use A4, that scaling is off and that the template dimensions match the sheet. A growing error can indicate incorrect scaling or label spacing; moving the whole design will not fix that mismatch.

Can I print a full sheet of the same return address?

Yes. Use Word’s label tool for a repeated address or enter the same details in each cell of a matching template. A recipient-list mail merge is useful when details change between labels, rather than when one address repeats throughout.

Do blank address labels work with inkjet and laser printers?

Our matt white paper A4 address labels are suitable for compatible inkjet and laser printers. Other label materials can require a specific print technology. Check the chosen stock and follow your printer’s label-media guidance.

Can I print on a partly used sheet of labels?

Use a complete sheet and follow the printer manufacturer’s guidance. Missing labels or exposed adhesive can cause feed problems or damage. Do not assume a partly used sheet is suitable for another pass.

Can you print address labels for me?

Yes. Explore our personalised address labels for details printed by us, or choose return address labels for compact sender information. For a list of changing recipients or a specialist layout, request a quote to confirm the data setup and print requirements.
